Board Positions
Elected Positions
President:
Organize and oversee the Note-ables Booster Club. Run board and general meetings. Communicate the needs of the choirs and the choir
director to the board. Facilitate the demands of the choir program, ensuring that committees are formed as needed and are accomplishing
their goals and that both elected members and chairpersons are accomplishing their goals and have the support that they need.
Vice President or President Pro-tem:
Assist the President and perform as acting President in the absence of the President. Oversee all of the choir representatives, ensuring
that each choir has adequate coverage and that choir representatives know when they need to communicate with their parents or request
volunteers. Act as liaison between the choir director and the choir representatives.
Secretary:
Take minutes of all board and general meetings, ensure that the minutes are approved by committee, and have the approved minutes posted on
the choir website. Draft other correspondence as necessary, most of which is done via email.
Treasurer:
Keep a record of all monies received, monies dispersed, and profit/loss from fundraising. Pay bills and deposit receipts. Update student
accounts on Charms. Respond to questions regarding student accounts. Provide information to, and work with accountant, on year-end review.
(Working knowledge of Quickbooks desired)
Appointed Positions
Banquet Chair:
With committee, organize a year-end banquet to honor the students of the choir.
Bingo Scheduler:
Based on information received from the choir representatives and others, prepare weekly master list of all bingo volunteers. Provide a list
by week to the Bingo Manager. Send reminders to each week’s volunteers reminding them of their commitment.
Bingo Manager:
Attend monthly meeting for Cypress Bingo. Oversee filing of monthly police reports with Cypress Police Department. Oversee record keeping of
volunteer hours and send to Treasurer. Attend Note-ables Booster meeting monthly and report on Bingo, including finances and volunteers.
Authorized signer on Bank of America Bingo checking account to pay rent, utilities, purchase inventory and advertising. Coordinate
promotions. Order programs as needed. Oversee and manager floor managers, schedulers, caller coordinator, inventory, and
publicity/advertising. Keep notebook reflecting regular activity (schedules, volunteer sign-in sheets, nightly reports, deposits,
advertising clippings, police reports, etc.) Renew permit with City of Cypress annually one month prior to anniversary or as required by
Cypress Police Department.
Choir Representative:
There are several choir representatives for each of the choirs. Generally, these representatives are responsible for communicating with
parents throughout the year as various needs pertaining to their choir arise. Please see the detailed job description for this position.
Competition Tickets Coordinator:
Handle the ordering of all tickets for chaperones and parents who wish to attend the various competitions and festivals that all the choirs
attend, primarily in the spring. This entails getting the order form from the choir director, finding out who will be chaperoning and which
other parents want to attend, ordering the tickets in a timely manner, and distributing to the chaperones/parents.
Concert Volunteer Coordinator:
Coordinate, organize, and oversee staffing of concerts including ushers, door persons, snack bar, 50/50 sales, flower sales, picture sales,
and ticket sales.
Costume Coordinator:
Work with the choir director to order and distribute choir costumes and accessories as needed, as well as special costume needs for specific
parts in concerts and competition sets. Work with a committee to ensure that sizing is correct and that all costumes are passed out to
students in as timely a manner as possible. Work with the treasurer regarding money collection and bookkeeping for costumes and to ensure
that we are remaining within budget.
E-Scrip Chair:
E-Scrip is a program that allows individuals to register their credit cards and grocery cards and then donates a percentage of purchases
made using those cards to the Note-ables Booster Club. The E-Scrip Chair will communicate with E-Scrip to ensure that the booster club has
all the latest information on ways to take advantage of this program. Market the program to choir parents periodically throughout the year
and, particularly, to new parents at the beginning of the year.
Festival Chairperson:
Xtravaganza is the annual choir competition hosted by the LAHS vocal music program. The chairperson coordinates all activities and
purchasing for the snack bar; solicits and schedules volunteers for the snack bar, ticket sales, doors, scoring, and other areas as
requested by the choir director.
Flower Sales:
Purchase and prepare flowers for sale at each of the concerts, Sound Fx showcase, and the All-District Choral Festival.
Hospitality Chair:
Organize the sale of refreshments before concerts and during intermission. Provide guidance to Sound Fx students with snack bar for Sound Fx
showcase. Let choir representatives know which choir(s) are responsible for donating items for the snack bar for each concert, as well as
how the choir should be divided up for each night of the concert.
Membership Chair:
With committee, solicit parents and community members for membership and/or donations to the Note-ables Booster Club. Plan fall membership
mixer. Send out welcome communication to parents of new students entering the choir program in the second semester.
Music Librarian:
Maintains the sheet music library in accordance with the pre-defined filing system to ensure music is easily accessible at all times.
Program Chair:
Work with choir director to publish program for each concert.
Props Chair:
Work with choir director to obtain props as needed for concerts and competitions.
Publicity Chair:
Publicize all fundraising events as well as choir performances and competition results to community as appropriate.
Scholarship Chair:
Coordinate 50/50 sales and, with a committee, judge scholarship entries to determine awards for presentation at the banquet. May not be a
parent of a senior.
Tickets Chair:
Handle all ticket orders for the 4 concerts (Broadway, Holiday, Spring, and Pops) and for Sound FX Showcase. This includes season tickets,
pre-order tickets, and tickets sold at the door. Ensure that season ticket and pre-sale orders are filled accurately and timely. It may be
helpful to have this position filled by two individuals asking as co-chairs.
Webmaster:
Maintains the choir web site (www.lahschoir.com), keeping all information updated and posting new
information as requested or as needed.
